Meeting Room and Event Policies

What are the event and meeting room cancellation policies? Are there meeting room or event space discounts? What are the payment policies for event or meeting room bookings?


Policies Across All of Our Rooms & Spaces

  1. Please call (313) 879-5250 or email receptionist@techtowndetroit.org to discuss reservations outside of our business hours.
  2. Outside-hours meetings and events at TechTown require approval by TechTown staff and will incur an additional charge of $50/hour Staff Fee and $75 cleaning fee. Outside hours meetings and events at I2C require consultation with Events Team.
  3. Additional fees may be incurred after the meeting or event for deep cleaning, resetting space and/or damages. These are at the discretion of TechTown Management. You will be notified prior to being invoiced for this post-event.
  4. All setup and attendance information must be confirmed 48 hours prior to event or meeting date. Changes made to room setup after this time may incur additional charges at the discretion of TechTown Management. You will be notified prior to being invoiced.
  5. Industry Innovation Center events may incur additional charges based on type of event and will be discussed with Events Team.
  6. Based on the type of meeting or event, additional fees may include after-hours TechTown staffing, additional event support staff and/or cleaning, and linen cleaning.
  7. You will be notified of all additional charges prior to invoicing.

Available Booking Discounts

  1. 10% off space rental at TechTown and I2C when booking 5 or more hours.
  2. 20% off space rental at TechTown and I2C for nonprofits.
  3. 25% off space rental of large event space at TechTown and I2C for TechTown coworking members and tenants.
  4. Discounts may not be combined.
  5. Fees for staffing, cleaning and laundering are not discounted.

Payments & Deposits

  1. Payment in full for all meetings and small-to-medium-sized events is required at the time of confirmation, prior to your meeting or event.
  2. Large events for which a formal quote is provided by the Events Team requires a deposit of 50% due upon approval of quote. Final payment will be invoiced 48 hours prior to the event and must be paid prior to the start of event. Add-on costs or refunds will be adjusted post-event.
  3. Payments can be made by credit/debit card or via check.
  4. A 3% fee will be charged if paid by debit or card.

Cancellation Policies

  1. Cancellations must be made in writing via email to receptionist@techtowndetroit.org.
  2. Cancellations made prior to 7 business days of your meeting or event date: 100% refund.
  3. Cancellations made between 6 and 3 business days prior to your meeting or event date: 50% refund, or you may use your full payment for a rescheduled meeting or event.
  4. Cancellations made between 2 days and 24 hours prior to, or on the day of, meeting or event time: No refund, but you may use your full payment for a rescheduled meeting or event.
  5. No shows or cancellations on the day of the meeting or event will be charged in full, no refund.
  6. Emergencies or extenuating circumstances may be considered when cancelling and issuing a refund.
  7. Cancellations due to building issues or closure: 100% refund, or you may use your full payment for the rescheduled meeting event.
  8. Bookings made with meeting credits are not entitled to financial compensation but will have their credits returned to them in accordance with the policies above.

Alcohol at Events Policy

Michigan Liquor Control Commission requires any events with an entry fee/ticket that have an open bar, or are selling alcohol at cash bar, to acquire a special event license for the sale of alcohol. Events that are free of charge and provide alcohol-free of charge do not require a liquor license and can serve spirits, beer, and wine.

What Your Standard Rental Includes

Tables (5-ft., 6-ft., high top, cafe) and chairs. Basic audio/visual includes projector, screen, TV monitor, podium, up to 4 microphones, OWL camera/mic setup. Additional AV, such as multiple cameras, lights, live streaming, etc., may require an AV technician and rental of additional equipment. Rental of additional furniture may apply. Quotes from third-party vendors can be provided upon request.
